Building a partnership of continuous improvement

RCS Influencer Erica Reed says that maintaining thorough documentation of decisions and changes helps minimize disputes and provides a record for continuous improvement.

Effective collaboration among project stakeholders, including manufacturers, distributors, contractors and trades is essential to reducing miscommunication and ensuring seamless project execution. The foundation of successful collaboration lies in establishing clear lines of communication and accountability from the beginning. Using a centralized communication platform, such as a company developed CRM, Microsoft Teams or Contruction platforms similar to Acculynx ensures that all parties have access to real-time updates, documents, schedules and task tracking, helping prevent information silos. 

At the project’s outset, defining roles, responsibilities and expectations for each party using tools such as CRM and their related apps can eliminate confusion and promote accountability. Regular coordination meetings: both pre-construction and ongoing bring together key players especially crews, homeowners and property owners to align on material timelines, labor scheduling and construction sequencing. 

A collaborative development of the master schedule, with input from all trades and suppliers, allows stakeholders to anticipate challenges and adjust plans accordingly. Sharing this schedule with manufacturers and distributors supports Just-In-Time (JIT) delivery, which minimizes material storage issues and jobsite congestion. If working multi-family or commercial; creating a detailed site plan enhances spatial awareness and helps identify clashes before work begins in the field, this minimizes traffic issues and disruptions to the tenants. 

To further reduce errors, standardized documentation for RFIs, submittals, change orders and inspections should be implemented across all teams. Designating a person such as a construction manager or owner’s rep; can centralize oversight and ensure coordination between design, procurement and installation. Building a culture of transparency, mutual respect and proactive problem-solving encourages stakeholders to share concerns early and work together toward solutions. 

Ultimately, maintaining thorough documentation of decisions and changes helps minimize disputes and provides a record for continuous improvement. When these practices are consistently applied, they foster an environment of shared responsibility and collaboration that drives efficient, on-time and high-quality project outcomes.
